Once you have a date in mind, submit an enquiry promptly — a deposit is typically what formally holds the date. Confirm whether the date is available before paying anything, and ask about the rescheduling policy if plans change.

The Singapore events industry standard is a non-refundable deposit of 30–50% of the total package value, paid on signing the contract, to secure the event date and cover initial planning and coordination hours. The balance is typically due 1–2 weeks before the event. Confirm in writing exactly what the deposit covers — whether it includes design consultation, vendor briefing sessions, site recce, or sample tastings where applicable — and what portion, if any, is transferable to a future date if you reschedule. Cancellation terms vary by provider. Most reputable planners allow rescheduling within a defined window (often 6–12 months) without forfeiting the deposit entirely, particularly if the change is due to a force-majeure event or public-health restriction. Ask specifically about the no-show and last-minute cancellation policy for vendors the planner has already contracted on your behalf, as those costs may pass through. Public liability insurance — especially relevant for setups at HDB void decks or condominium venues — should be confirmed before signing.
